Privacy Policy
This Privacy Policy explains how Ivory Technologies ("we", "us", "UNIVO360") collects, uses, stores, and protects information when an association uses the UNIVO360 platform to manage its members, and when a member of that association uses UNIVO360 to view their profile or pay fees online — including through our bank payment gateway integration.
UNIVO360 is a software platform used by associations (residents' welfare associations, cable operator associations, professional bodies, and similar member organizations). Each association is the data controller for its own members' information; UNIVO360 acts as the data processor/technology provider that stores and processes this information on the association's behalf.
1. Information We Collect
1.1 Information associations provide about their members
- Identity details: name, gender, date of birth, photograph, government ID proof number
- Contact details: phone number, alternate phone, email address, residential/office address
- Membership details: membership number, membership plan/category, joining date, board position (if any)
- Professional details: profession, organization, designation, qualification (where collected by the association)
- Emergency contact information
- Any custom fields a specific association has configured for its members
1.2 Payment information
When a member pays a membership fee, registration fee, or event/collection fee through UNIVO360:
- Bank payment gateway transactions: card, net-banking, UPI, or account details are entered directly on our banking partner's secure payment page, not on UNIVO360's own servers. We do not collect or store full card numbers, CVV, or net-banking credentials — the gateway returns only a transaction reference, status, and amount to UNIVO360.
- Manually recorded payments: where a member or staff member uploads a payment screenshot or enters a transaction reference for a cash/bank-transfer payment, we store that screenshot and reference for verification and audit purposes.
- We retain payment amount, date, mode, status, and reference for every transaction as part of each association's financial records.
1.3 Information collected automatically
- Login activity, device/browser information, and IP address, for security and audit logging
- Usage data such as pages visited within the platform, for maintaining and improving the service
2. How We Use Information
- To operate the association's member directory, billing, events, meetings, documents, and related modules
- To process and record membership/event/registration fee payments, including via our bank payment gateway integration, and to update bill/payment status accordingly
- To send notifications relevant to membership status, bills, payments, events, and meetings
- To verify member identity (e.g. via the public membership-certificate QR verification)
- To maintain audit logs of account, billing, and administrative actions for security and dispute resolution
- To comply with legal, tax, and regulatory obligations applicable to the association or to Ivory Technologies
We do not sell member or association data to third parties.
3. Sharing of Information
- Bank/payment gateway partner: transaction amount, order reference, and the minimum member contact details required to initiate a payment are shared with our payment gateway partner solely to process that transaction and return its status to UNIVO360.
- Within the association: association administrators and authorized board members can view member information and payment records as needed to run the association, consistent with the roles/permissions the association itself assigns.
- Service providers: we use third-party infrastructure (hosting, email/SMS delivery) under confidentiality obligations, solely to operate the platform.
- Legal requirements: we may disclose information where required by law, regulation, court order, or to protect the rights, property, or safety of UNIVO360, an association, or its members.
4. Data Security
We use industry-standard safeguards — encrypted connections (HTTPS), access controls based on role/ permission, private storage for sensitive documents (ID proofs, payment screenshots), and audit logging of administrative actions. No online payment or data transmission method is 100% secure, and while we work to protect information, we cannot guarantee absolute security.
5. Data Retention
We retain member and financial records for as long as the association's account remains active, and for a further period afterward as required for accounting, tax, and legal purposes, or as instructed by the association. Deleted records (e.g. a removed bill or payment) are retained in an audit/history state rather than erased, so financial history stays accurate and traceable.
6. Your Rights
Depending on applicable law, you may have the right to access, correct, or request deletion of your personal information. Since each association controls its own members' data, please contact your association's administrator in the first instance; you may also contact us directly using the details below and we will coordinate with the relevant association.
7. Cookies
UNIVO360 uses strictly necessary cookies/session storage to keep you signed in and to remember interface preferences (such as sidebar state). We do not use third-party advertising or tracking cookies.
8. Children's Information
UNIVO360 is intended for use by adults registering or managing membership on behalf of an association. Where an association records information about a minor (e.g. a family membership plan), it does so as the responsible data controller and is responsible for obtaining any necessary parental/guardian consent.
9. Changes to This Policy
We may update this Privacy Policy from time to time. The "Last updated" date above reflects the most recent revision. Material changes will be communicated through the platform or via email where appropriate.
